PORTRAIT CLUB

Portrait Club is a highly rated, 5 star Black and White portrait studio and our dedicated team is committed to giving a fully professional experience to everyone we work with. Like any in demand small business, we require a confirmation fee to reserve your date and time. This fee is credited to any purchase you choose to make at your ordering session, or is cheerfully refunded subject to you attending your portrait session and ordering session. This helps to ensure that we are working with committed clients who value professional portrait photography.

BOOKING CONFIRMATION / RETAINER FEE
We are a small, high-end portrait studio and reserve limited session times based on photographer availability. When you book a session, we dedicate that time exclusively to you, and our photographers turn away other work as a result. For this reason, a reservation retainer is required to secure your session. This is not an additional fee; it is applied toward any purchase you make.
Refund Eligibility
Your reservation retainer is refundable only if you attend your scheduled photo session AND your photo-viewing/ordering appointment, and you decide not to make a purchase after viewing your images.
Refunds are not provided if you cancel your session or do not attend.
Cancellations & Rescheduling
  • If you cancel your session, the retainer is not refundable, regardless of how much notice is given.
  • If you fail to attend the session or the viewing appointment, the retainer is forfeited.
  • Cancellations made within 24 hours of your appointment automatically forfeit the retainer.
  • If you cancel or reschedule more than two times, the retainer will be forfeited and a new retainer will be required to book again.
  • If you cancel before attending your session (and it is not within the 24-hour window or beyond the allowed number of reschedules), the retainer may be held as a studio credit or transferable gift voucher at the studio’s discretion.
Special Sessions
For Headshots, Pop-Up Studios, Charity Projects (Book Projects), and Holiday Specials (including Santa sessions), retainers are not refundable.

Agreement

By scheduling and paying your reservation fee, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.



PRIVACY POLICY
Portrait Club will never sell or share your information with anyone. Information is obtained only by the form visitors fill out who have expressed interest in a promotion or our services via our website or social media forms. We collect email, first/last name, and phone number only to provide information requested by the visitor. We only use your information to contact you regarding any applications submitted or to keep you up to date on studio news. You may opt out at anytime by clicking on the opt out button in any of our newsletter emails or texts message you previously signed up for by responding "STOP".  To re-join, sign up again as you did initially and we will resume the SMS messaging.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Message and date rates may apply for messages sent to you from us. Message frequency varies. 

We accept all major credit cards, Zelle, Affirm and ACH Check. Please be advised that a 3% convenience service charge will be applied to all credit card purchases except in states where is not allowed. 

FREQUENTLY ASKED QUESTIONS:

Do I have to place my order at the time of the portrait viewing (ordering session)?
Yes, this is the time we are able to advise you on getting the best from your photographs, so all of the decision makers in the family should be present. We are, unfortunately, unable to provide multiple ordering sessions. 

What is the "keep appointment" credit?
In order to encourage our clients to keep their original appointment, the "keep appointment" bonus is given when you keep your original photo session and photo viewing appointment times. Any appointment, including photo session and ordering sessions, cancelled more than two times are subject to a new deposit requirement and forfeit any studio gift credits.  

Can I get digital files of the printed images?
Portrait Club specializes in black and white acrylic wall décor and the production of fine photographic prints. The majority, but not all, of our print products include matching digital files. We do have several digital-only packages available starting at $1250 for high resolution images with full print releases. 

What are the prices of your photographs?
The full range our products and price list  are on our website https://www.myportraitclub.com/products  . Prints start at $495, Digital files start at $1250, Wall art starts at $1650. 

How long do orders take to complete?
Usually orders are completed in one to three weeks. Holiday times may vary

Is it possible to layaway my purchase?
Full payment is generally required on all orders but payment plans can be organized by arrangement for larger orders. We also offer Affirm for larger orders. 

Do you take credit cards?
Yes, we take all credit cards and now offer Affirm 

Can I order photographs at a later date?
Yes, you may order products at a time later than the viewing time, but please note that we only guarantee to keep your files for 28 days after your viewing session and any studio vouchers are ONLY valid for the date of your photo ordering session (done via Zoom). 

Can I bring extended family and/or pets to be in the photographs?
Yes! We encourage you to capture other special people and/or pets
We believe these images are incredibly important and we are happy to include them. Please let us know if your group will be more than 8 people so we can be prepared.

Am I guaranteed the photographer that I originally booked with?
No, we do reserve the right, due to scheduling conflicts, to substitute your photographer with one of our other highly trained photography artists.
